What information we may use

For business prospecting we may use limited business-contact information such as your name, job title or role, business name, work email address, company website/domain, publicly available information about the catering business, the source of the contact information, and records of emails, replies, objections and opt-out status.

We do not need or intend to use special-category personal data for this activity.

Where the information comes from

Business-contact information may come from publicly available business sources such as company websites, Companies House, public professional profiles and business directories, or from business-data providers used for prospecting.

Public availability does not remove our data-protection responsibilities. We use the information only where the proposed contact passes our B2B prospecting filters.

Why we use it

We use business-contact information to identify and contact relevant UK catering businesses that may have a legitimate business interest in The Catering Toolkit, and to measure whether our outreach is useful and commercially effective.

For named business contacts, our proposed UK GDPR lawful basis is legitimate interests. Our legitimate interest is promoting a relevant B2B product to suitable corporate catering businesses. We apply a documented balancing test and restrict the activity to a small, relevant audience.

For our controlled Wave 2 test, unsolicited email is limited to verified corporate subscribers. Sole traders and ordinary/non-corporate partnerships are excluded unless a separate valid PECR route has been established.

How we use and protect the information

We use the minimum information reasonably needed to assess relevance, send the outreach and record the result.

We may use service providers that support email/outreach, hosting and business administration. They process information only for the relevant business purpose and subject to appropriate contractual and security arrangements.

If a service provider processes personal data outside the UK, we will use an appropriate lawful transfer mechanism where required.

How long we keep it

We keep prospecting information only for as long as reasonably necessary for the marketing purpose, to assess the effectiveness of the outreach, and to meet legal/compliance requirements.

If you opt out or object to direct marketing, we may keep a minimal suppression record for longer so that we can respect your request and avoid contacting you again.

Your rights

Depending on the circumstances, you may have rights to ask for access to your personal data, correction, erasure or restriction, and to object to processing based on legitimate interests. You can object at any time to the use of your personal data for direct marketing.

You can also complain to the UK Information Commissioner's Office if you are unhappy with how your personal data is handled.

Direct-marketing opt-out

Every Toolkit prospecting email should provide a simple opt-out. If you ask us to stop, we will stop direct-marketing contact and place the minimum information needed on our suppression list.

We may update this notice as our business systems or legal requirements change.
